Terminus is the workspace Terminus Technologies uses to run client projects — the project records, the chat between a client and the developer working for them, and the meetings where that work happens. This explains what it stores and why.

Read this part first: project meetings are monitored
Meetings held through Terminus are attended by an automated participant. It is visible in the participant list, and it says what it is doing in the meeting chat before anything is watched. It reads the meeting chat, the text of shared screens, and Zoom's live captions, and it acts on one thing only: personal contact details being exchanged.
No audio or video recording is made. Where transcription is switched on for an account, the text of Zoom's live captions is kept and can be read by our staff; the notice given in the meeting says so when it is. If you would rather not take part on those terms, tell us before the call and we will arrange another way to speak.
What we collect
Only what the work needs. There is no advertising here, no tracking across other websites, and nothing is sold or shared for marketing by us or by anyone else.

Messages and files are checked before delivery
Every message and every uploaded file passes an automatic check for personal contact details — phone numbers, email addresses, messaging handles — including deliberately disguised forms. This exists because a project relationship should live where both sides have a record of it, not in somebody's private inbox.
Most messages are delivered instantly and nothing is stored beyond the message itself. Where something is caught, the message may be held for a manager to look at, or delivered with the detail masked. What is recorded in that case is the masked line and what was done about it — not a copy of the original.
What happens in a meeting
An automated participant joins under a name that identifies it, announces in the chat that the room is monitored, and then reads three things: the meeting chat, the text visible on a shared screen, and Zoom's live captions.
Screens are read and discarded — an image is never stored or sent anywhere. If a sign-in page or contact details appear on a shared screen, the screen share is stopped. Nobody is removed from a meeting for something seen on a screen or heard in a caption, because both are machine guesses; removal is reserved for something typed deliberately into the chat.
Where transcription is switched on, the text of Zoom's live captions is stored and readable by our staff. Captions are Zoom's best guess at speech: they mishear names and numbers, and a transcript is not a recording or an exact record of what was said.
Where it is stored
Terminus runs on services we hold accounts with, and your information is processed by them on our instructions: Vercel (hosting), Google Firebase (chat messages and delivery), Prisma Postgres (project records and attendance), Cloudinary (uploaded files), and Zoom (the meetings themselves, under Zoom's own policy).
We are based in India and work with clients in the United States and elsewhere, so information is processed in both. Access inside the company is limited to the people who need it: a client sees their own project, a developer sees theirs, and full access belongs to administrators.
Your choices
You can ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted. Some of it we have to keep — an invoice is a financial record — and we will say plainly which parts those are rather than refuse the whole request.
You can turn notifications off from the bell in the chat at any time, and signing out clears the session on that device.
